How an Office Administrator Ended Up Buying VFDs

Last April, a maintenance supervisor named Dave dropped a printout on my desk. It was a quote from an electrical distributor with a line item I couldn't pronounce.

“We need three of these,” he said. “Pump motors on the new boiler.”

I read it again. “VFD. Variable frequency drive. Dave, I order toner for a living.”

“Congratulations,” he said. “You're in the industrial procurement business now.”

The Background Nobody Tells You About

My official title is office administrator. My actual job is making sure things get bought. For a manufacturing company with about 400 employees across three locations, that means managing roughly $400,000 in annual purchasing—janitorial supplies, office equipment, shipping contracts, and one eventful spring, three variable frequency drives. I report to both operations and finance, so every purchase gets reviewed twice.

When I took over purchasing in 2020, my world was toner, breakroom supplies, and the occasional furniture order. Reading the Manual Was Cheaper Than My Mistake

After the dust settled, I started over—wiser, humbler, and $1,250 lighter. This time I did what I should have done before touching a PO: I looked up the product.

What Happened When Everything Worked

I can't speak to how this applies to their other series.

Honestly, I'm still not sure why VFD pricing varied so much between distributors. My best guess: inventory levels, service commitments, and how badly each one wanted the account.

But the drives are running, the generator is ready, and Tom asked me last week if we could add another PLC module next year.
